Floor-Loading Calculations for Heavy Exhibits

A practical guide for venue safety compliance

When a 12-ton industrial press needs to sit on a convention hall floor for three days, the math has to be precise. We walk through the load-distribution formulas, subfloor reinforcement options, and the permit process we use for every heavy-equipment exhibit. The article includes a real case from the 2024 Industrial Trade Expo where a last-minute floor-loading adjustment saved the venue from structural damage. Readers will learn how to read structural load charts and when to call in a civil engineer.

Coordinating Vehicle Movement in a Crowded Hall

Real-time logistics for classic car showcases

Moving 45 vintage cars through a single loading dock without a single scratch requires a detailed staging plan and strict communication protocols. This article breaks down the vehicle movement schedule we used at the Istanbul Auto Expo 2025, including the role of spotters, the timing of each transfer, and how we handled unexpected delays when a 1967 Ferrari had a flat tire mid-rally. The piece also covers how we coordinate with collector clubs to align their arrival windows with floor readiness.

Emergency Access Planning for Large Expos

Why every floor plan needs a secondary evacuation route

Most event organizers focus on aesthetics and traffic flow, but emergency access is what keeps a venue compliant and safe. In this article, we detail how we design evacuation corridors that remain clear even when the hall is packed with exhibits. We cover the specific width requirements for fire trucks, the placement of emergency exits relative to heavy machinery, and a real incident from a trade show where a blocked aisle caused a 12-minute delay in emergency response. The guide includes a checklist we use during pre-event walkthroughs.

Frequently Asked Questions

Straight answers about event logistics, vehicle handling, and venue compliance.

What types of events do you manage?

We specialize in large-scale automotive exhibitions, classic car showcases, and industrial trade expos. Our team handles everything from venue safety compliance to floor-space allocation and vehicle movement coordination.

How do you ensure vehicle safety during transport?

We use specialized flatbed trucks with custom tie-downs, real-time GPS tracking, and overnight security for all vehicles. For cross-border moves, we handle customs clearance and coordinate with local authorities for road closures.

Can you handle heavy machinery at trade expos?

Yes. We design floor-loading plans to distribute weight safely, work with rigging specialists for equipment placement, and enforce strict safety protocols for all moving operations. Our team has staged over 80 heavy machinery units at past events.

Do you work with collector clubs or associations?

We regularly collaborate with collector clubs and automotive industry associations to coordinate classic car displays, ensure proper barriers and climate control, and manage crowd flow during peak hours.

What safety measures do you implement at venues?

We conduct venue safety compliance checks, design emergency access routes, install barriers around displays, and deploy dedicated safety teams to monitor crowd flow and vehicle movement throughout the event.

Terms & Clarifications

Floor Space Allocation

All floor-space dimensions are measured from column centerlines. Aisles, emergency exits, and loading zones are excluded from exhibitor allocations. Final layouts are subject to venue fire-marshal approval and may require last-minute adjustments.

Vehicle Movement Coordination

Vehicle movement schedules are based on exhibitor-provided arrival windows. Delays caused by traffic, customs, or incomplete documentation are the responsibility of the transporting party. Our team provides real-time tracking but cannot guarantee specific slot times once a delay occurs.

Heavy-Equipment Transport

Weight and dimension declarations must be submitted at least 14 days before transport. Any discrepancy between declared and actual specifications may result in rescheduling and additional fees. Our liability is limited to the declared value of the cargo as stated in the transport agreement.

Safety Compliance

Our safety plans follow local regulations and venue-specific requirements. Exhibitors and contractors are responsible for their own equipment safety and staff training. We conduct walkthroughs and provide compliance reports, but on-site supervision remains the duty of each participating party.

Event Cancellation & Postponement

If an event is cancelled or postponed due to force majeure, venue closure, or government directive, our team will assist with rescheduling logistics. Deposits for floor-space and transport are non-refundable but may be transferred to a future event within 12 months.

Liability & Insurance

Garajgunleri carries general liability insurance. Exhibitors and transporters must provide their own insurance covering their equipment, vehicles, and personnel. Our liability does not extend to damage caused by third-party contractors or acts of nature.
